Indexing in Gimmal Discover

Want to supercharge the performance of the Gimmal Discover on network file shares? If you answered yes, the secret is indexing!

Discover has the ability to create a document index of network file share content thanks to the powerful dtSearch engine. A document index is essentially a database that stores the locations of all the words in a group of documents. Once the index is created, it may be used to search for a particular word, or phrase, returning a list of all the documents that contain those terms very rapidly.

Implementing indexing on a network file share data target within Gimmal Discover is not difficult, but a bit of advance planning can optimize the process. Consider items such as:

  • Which file share data target(s) will benefit most from being indexed? Remember, you may create more than one index to handle multiple data target paths

  • What file types or folders should be bypassed when creating the index

  • Are specific Indexing options required for your data (i.e. handling dates or credit card numbers for example)

These settings may all be found on the File Agent tab of the Connector settings

After the indexing settings are in place, you can move on to creating the index. Select a data target path, then choose the Indexing option,

select the Add Index option

Depending upon the size of the file share data target being indexed, the process of creating the index may take anywhere from a few hours to several days. Once an index is in place, it may be used in either a Discover Data Governance policy or eDiscovery search to dramatically reduce the amount of time required to process a large amount of file content.
