Why are my scheduled destruction dates incorrect?

Gimmal Physical can automatically calculate the scheduled destruction dates for your items based on their associated retention schedule. In some cases, the scheduled destruction dates may differ from what is expected. If this happens, please follow the checklist below for possible configuration errors.

  1. Does Cut-Off Date for the item show the correct value - (this field may have been re-captioned as Trigger Date, Critical Date, Event Date, etc.). The Cut-Off Date is based on a combination of the Date To field and the item’s associated retention schedule. Since the Scheduled Destruction Date is based on the Cut-Off Date, if the Cut-Off Date is incorrect, the Scheduled Destruction Date may be similarly incorrect.

  2. Is Override checked or unchecked?

    1. If checked, the Scheduled Destruction Date will not be automatically calculated and must be entered manually - ensure that the date entered is accurate for the item.

  3. Retention schedule - Ensure the correct retention schedule is associated, and make sure that it is configurated correctly. E.g., an incorrect event code (e.g., Fiscal Year End vs. Calendar Year End, etc.) could affect the calculated Scheduled Destruction Date.

  4. Has the Scheduled Destruction Date been recalculated? The automatic recalculation is controlled in the Admin menu, Application Settings page. It can be recalculated:

    1. Dynamically, i.e., when an item is updated

    2. On a schedule - i.e. at a set time per day for all items
